AI consulting and training for Florida law firms with fewer than 25 lawyers

Make AI useful in the work your firm does every week.

I’m Greg Yates, a former Big Law partner. I help small firms improve intake, drafting, client updates, and other recurring work. We start with the software you own, build in lawyer review, and train the people who will use the process.

Small firms do not need AI theater. They need fewer dropped balls.

The problem

You do not need an AI strategy. You need a better Tuesday.

Drafting still eats hours. Intake still arrives in five places. Clients still call because the update did not go out. Your best staff member still holds half the process in her head. Another software subscription will not fix that by itself.

Work gets recreated

The retyped letter. The rebuilt chronology. The intake question someone already answered. Rework is expensive because it looks normal.

Handoffs fail quietly

A lead waits. A task has no owner. The right document is in the wrong inbox. The problem appears later, when it costs more.

AI use outruns the rules

Lawyers and staff experiment before the firm agrees on approved accounts, client information, review, or responsibility.

Where the work starts

Pick a task the firm already does every week.

Intake and follow-up

Turn calls, forms, emails, and notes into cleaner summaries, conflict-check handoffs, and prompt next actions.

Drafting and revision

Build repeatable first-draft and review processes for letters, client updates, demands, memoranda, and recurring documents.

Summaries and chronologies

Organize email chains, pleadings, discovery, transcripts, and client documents without treating generated output as verified fact.

Client communication

Prepare useful status updates, next-step explanations, meeting follow-ups, and routine correspondence.

Internal operations

Create checklists, templates, task sequences, review points, and handoff instructions people can repeat.

Lexis+ with Protégé and Create+

Connect Vaults, prompts, skills, drafting, and training to recurring legal work while keeping lawyer review visible.

The fix order

The cheapest reliable fix wins.

We start with the work that leaks time or creates risk. Then we use the smallest change that the team will actually keep using.

Fix the process first.

A checklist, template, naming rule, or clearer handoff may solve the problem.

Use a feature the firm already owns.

Microsoft 365, Google Workspace, Lexis, Westlaw, Clio, and other existing systems often contain unused capability.

Configure the current tools.

Build the prompt, template, permissions, review step, and written instructions around the real workflow.

Buy something new only when the gap is clear.

A new tool needs a defined job, an owner, a review process, and an exit plan.

Ways to start

Fixed scope. Clear output. No software sales.

Who you are hiring

A former Big Law equity partner who understands small-firm constraints.

I practiced law for decades before building Actionable AI. I understand partner skepticism, staff capacity, billing pressure, deadlines, client expectations, and the difference between a demo and a working process.

Independent advice

I sell no software and take no vendor commission. If a better checklist solves the problem, that is the recommendation.

Built for adoption

The people who run the workflow help shape it. The output includes ownership, training, review, and a way to tell whether it worked.

Waves & Gates

Adoption comes in waves. Safety comes from gates.

Each wave improves one piece of recurring work. Each gate names the person who checks a defined thing before output reaches a client, a court, or the public. The process is documented so the firm’s knowledge compounds instead of disappearing into individual inboxes.

Florida’s rules make the review duty concrete. Florida Bar Opinion 24-1 addresses competence, confidentiality, supervision, fees, accuracy, and advertising. Since June 15, 2026, Florida Rule 2.515(d)(2) also requires a signer of a court filing to represent that the legal authorities identified exist and are accurately cited.

Straight answers

What skeptical partners ask first.

Will we need new software?

Usually not. We begin with the firm’s current systems and recommend something new only when a defined gap justifies it.

What about confidentiality?

The firm approves the exact tools, accounts, information, and uses. Each workflow includes minimum-necessary data rules, access controls, and a named review step.

What happens when the AI is wrong?

The workflow assumes it can be wrong. Important facts, quotations, calculations, and legal authorities return to an authoritative source before anyone relies on them.

What results should we expect?

No invented percentages. We define the problem before the work begins, then measure the firm’s own time, errors, rework, cycle time, or missed follow-up after the pilot.

Where should we start?

Bring one recurring task that wastes time, creates inconsistent work, or depends too heavily on one person. We will decide whether the answer is a checklist, a current software feature, light configuration, or something else.

A sensible next step
